OFFICE KAMIYA Inc. ("we", "our", or "us") respects your privacy. This Privacy Policy describes how we collect, use, and handle your information when you use our software "PDF Mail Engine" (the "Software") and our website (the "Site").

1. Desktop Application (The Software)

Local-First Philosophy: The Software is designed to process data locally on your device.

  • No Cloud Uploads: We do not upload your PDFs, Excel/CSV data, or email content to our servers.
  • Email Credentials: Your SMTP/API credentials are stored securely on your local device (using Windows Credential Manager) and are never transmitted to us.
  • Telemetry: If downloaded via the Microsoft Store, Microsoft collects basic, anonymous usage statistics (e.g., installation counts, crash reports) in accordance with the Microsoft Privacy Statement. We do not implement third-party tracking pixels within the Desktop Application itself.

2. Website & Commercial Transactions

When you visit our Site or license the Software, certain data is processed for commercial purposes.

2.1. Merchant of Record (Lemon Squeezy)

Our order process is conducted by our online reseller & Merchant of Record, Lemon Squeezy, LLC. When you make a purchase:

  • Payment Data: Lemon Squeezy processes your payment method. We do not have access to your full credit card number.
  • Customer Data: We receive transaction details (Name, Email, Order ID, and License Key) to provide customer support and license validation.

2.2. Website Analytics

Our Site is hosted on Cloudflare Pages. We may use privacy-friendly analytics (such as Cloudflare Web Analytics) to understand site traffic (e.g., page views, country of origin). This data is aggregated and anonymous.

3. License Validation

The Software may periodically connect to our licensing server (or Lemon Squeezy API) to validate your license key. This process transmits:

  • Your License Key
  • A unique hardware identifier (hashed/anonymized) to ensure device limits are honored.

No personal documents or contact lists are transmitted during this check.

4. Use of Information

We use the limited information we collect (Name, Email, Order History) solely to:

  • Deliver the Software and License Key.
  • Provide technical support and respond to inquiries.
  • Notify you of critical updates or security patches.
  • Process refunds or resolve disputes.

5. Data Retention & Security

We retain customer purchase records for as long as necessary to provide service (e.g., lifetime license validation) and to comply with tax/accounting obligations. We implement reasonable security measures to protect this information.

6. Your Rights (GDPR / CCPA)

Depending on your location, you may have rights regarding your personal data, including:

  • Access & Correction: You may request a copy of the purchase data we hold or request corrections.
  • Deletion: You may request deletion of your data, though this will result in the termination of your license and support.
