Licensing & Plans

Q. Is this a subscription?

No. PDF Mail Engine is a "Perpetual Fallback License" product. You pay once and own the version you bought forever. There are zero monthly fees. The optional annual renewal is only for receiving future updates, not for keeping the software running.

Q. Do the updates expire?

No, you can use the version you purchased forever. Even if your update pass expires, your application will never be locked. You own the rights to any version released during your active period. You only need to renew if you want access to new features released after your pass expires.

Q. I use the Microsoft Store version. What happens if my update pass expires?

The Store version auto-updates, so it might revert to "Trial Mode" if it updates beyond your license period. In this case, simply uninstall the Store version and download the Fixed Installer (Direct Download) for the last version covered by your license key. You can find this in the "Version History" on our website. Your license is valid for that version forever.

Q. Can I renew an expired license?

Yes, anytime. There is no penalty for renewing later. Your new 1-year update pass starts from the date of renewal.

Q. Are there different features for Starter vs Pro?

No. The features are identical. The only difference is the number of devices allowed. Starter covers 1 PC. Professional covers 3 PCs. Enterprise covers 10 PCs. All plans include the full power of the engine.

Q. Do I get multiple license keys for team plans?

No, you get a single "Unified Key". For example, if you buy a Professional Plan (3 devices), you receive one key that can be activated on 3 different machines. This makes license management easy for IT admins.

Q. Can I transfer my license to a new PC?

Yes, instantly. Simply deactivate the license on the old PC features (Settings > License), or manage it via the License Portal (https://app.lemonsqueezy.com/my-orders/login). No approval process required.

Q. My PC broke and I can't deactivate. What do I do?

You can remotely deactivate a dead machine via the License Portal. Log in to your purchase history (https://app.lemonsqueezy.com/my-orders/login) and click "Deactivate" on the specific device. You can then active your new machine immediately.

Q. Do you provide compliant invoices?

We use Lemon Squeezy (USA) as our Merchant of Record. You will receive a receipt from Lemon Squeezy. Please note that for Japanese customers, this receipt works for general expenses but is not a "Qualified Invoice" under the Japanese Invoice System.

Installation & Environment

Q. Microsoft Store vs Direct Download?

We generally recommend the Microsoft Store version. Microsoft Store (Recommended): Auto-Pilot updates ensure you are always on the latest, most secure version. Zero maintenance. Direct Download: For IT Admins who need to freeze a specific version or install on air-gapped (offline) machines.

Q. Does it work on Mac or Mobile?

No. This is a native Windows 10/11 application. To process thousands of records with maximum speed and security, we leverage local Windows APIs. We do not support web browsers, macOS, or mobile devices.

Q. Do I need Admin Rights to install?

No. You can install it with Standard User privileges. No IT ticket required. Download and start automating in seconds.

Q. Does it work Offline?

Yes. It is Air-Gap ready. You need internet access only once for the initial license activation. After that, the engine runs completely offline. Your data never leaves the machine.

Q. Will my antivirus flag it?

No. The application is signed with an EV Code Signing Certificate. It is recognized as a trusted application by Windows SmartScreen and major security vendors.

Operation & Features

Q. Is it hard to learn?

We include "Demo Data" to get you started in seconds. When you launch the app, you can generate a full set of sample data (Excel + Template) to practice the entire workflow without risking real data.

Q. Can I change where data is saved?

Yes. You can set the workspace to any folder. Local Documents: For maximum speed and security. Cloud (OneDrive/Dropbox): For automatic backups. NAS: For team storage.

Q. Can my team share the same data?

Yes, but not at the exact same time. To prevent database corruption, we recommend a "Baton Pass" workflow. User A works, then closes the app. User B opens it. Use the built-in "Backup & Restore" feature to synchronize state safely.

Q. What are the limitations of the Trial Mode?

Batch processing is limited to 1 record at a time. All other features are fully active. There are no watermarks. You can design templates and test email connections without restriction.

Troubleshooting

Q. I can't send emails via Gmail/Outlook.

You need an "App Password". For security, Google and Microsoft disable basic login for third-party apps. You must generate an App Password in your account settings and use that instead of your normal login password.

Q. Can I keep Excel open while importing?

Yes. The engine can read data even if the Excel file is currently open in another window. No need to close your work.

Q. My PDF text is garbled (Tofu characters).

This is a font issue. The default font (Noto Sans) covers standard characters. If you use special symbols or Asian characters, you may need to add a compatible .ttf/.otf font file in the Template Designer.

Q. The app won't start.

Please verify your installation. Try uninstalling and reinstalling from the Microsoft Store. Your data (Workspace) is stored separately and will not be deleted during re-installation.
