Licensing & Plans

Q. Is this a subscription?

No. PDF Mail Engine uses a Perpetual Fallback License. You pay once and own the version you bought forever. Zero monthly fees. The optional annual renewal is only for receiving future updates — the software itself never stops working.

Q. What happens when my update period expires?

Nothing breaks. You keep using the version you own. Your application will never be locked or downgraded. You own the rights to every version released during your active period. Renew only when you want access to newer features.

Q. I use the Microsoft Store version. What happens if my update pass expires?

The Store version auto-updates, so it might revert to "Trial Mode" if it updates beyond your license period. In this case, simply uninstall the Store version and download the Fixed Installer (Direct Download) for the last version covered by your license key. You can find this in the "Version History" on our website. Your Perpetual Fallback License covers that version forever.

Q. Can I renew an expired license?

Yes, anytime — no penalty for renewing late. Your new 1-year update pass starts from the date of renewal, giving you access to every new version released during that period.

Q. What is the difference between Starter, Professional, and Enterprise?

Only the number of PCs allowed. The features are identical. Starter covers 1 PC. Professional covers 3 PCs. Enterprise covers 10 PCs. All plans include the full power of the engine.

Q. How does license key management work for teams?

You receive a single Unified Key. For example, a Professional Plan (3 PCs) gives you one key that activates on 3 different machines. No juggling multiple keys — simple for IT admins to manage.

Q. Can I transfer my license to a new PC?

Yes, instantly. Deactivate the license on the old PC (Settings > License), or manage it via the License Portal (https://app.lemonsqueezy.com/my-orders/login). No approval process required.

Q. My PC broke and I can't deactivate. What do I do?

You can remotely deactivate a lost machine via the License Portal. Log in to your purchase history (https://app.lemonsqueezy.com/my-orders/login) and click "Deactivate" on the specific machine. You can then activate your new PC immediately.

Q. Do you provide compliant invoices?

We use Lemon Squeezy (USA) as our Merchant of Record. You will receive a receipt from Lemon Squeezy. Please note that for Japanese customers, this receipt works for general expenses but is not a "Qualified Invoice" under the Japanese Invoice System.

Installation & Environment

Q. Should I install from the Microsoft Store or Direct Download?

We recommend the Microsoft Store for most users. Microsoft Store (Recommended): Auto-Pilot Updates keep you on the latest, most secure version with zero maintenance. Direct Download: For IT Admins who need to freeze a specific version or install on air-gapped machines without internet access.

Q. Does it work on Mac or Linux?

No. PDF Mail Engine is a native Windows 10/11 application. To process thousands of records at maximum speed with full data sovereignty, we leverage local Windows APIs. Web browsers, macOS, and Linux are not supported.

Q. Do I need Admin Rights to install?

No. Install with Standard User privileges — no IT ticket required. Download from the Microsoft Store and start automating in minutes.

Q. Can it run on air-gapped or offline networks?

Yes. PDF Mail Engine is air-gap ready. Internet is needed only once for initial license activation. After that, the engine runs completely offline. Your data never leaves the machine.

Q. Will my antivirus flag it?

No. The application is signed with an OV Code Signing Certificate. Windows SmartScreen and major security vendors recognize it as a trusted application.

Operation & Features

Q. How long does it take to learn?

Minutes. Built-in Demo Data gets you started immediately. Launch the app, generate a full set of sample data (Excel + Template), and practice the entire workflow without risking real data.

Q. Can I change where data is saved?

Yes. Set your workspace to any folder you choose. Local Documents: Maximum speed and data sovereignty. Cloud Sync (OneDrive/Dropbox): Automatic backups. NAS: Shared team storage.

Q. Can multiple team members use it?

Yes, using a sequential workflow. To prevent database corruption, we recommend a "Baton Pass" approach: User A works and closes the app, then User B opens it. Use the built-in "Backup & Restore" feature to synchronize state safely.

Q. What can I do in Trial Mode?

Everything except batch processing — which is limited to 1 record at a time. There are no watermarks. You can design templates, test email connections, and explore every feature without restriction.

Troubleshooting

Q. Gmail or Outlook won't send emails. What's wrong?

You need an "App Password" — not your regular login password. Google and Microsoft block basic login for third-party apps. Generate an App Password in your account security settings and use that in PDF Mail Engine.

Q. Can I keep Excel open while importing?

Yes. The engine reads your data even if the Excel file is open in another window. No need to close your spreadsheet first.

Q. My PDF shows garbled text or boxes instead of characters.

This is a font issue. The default font (Noto Sans) covers standard Latin characters. For Asian characters or special symbols, add a compatible .ttf/.otf font file in the Template Designer.

Q. The app won't start. How do I fix it?

Try reinstalling from the Microsoft Store. Your data (Workspace) is stored separately and will not be deleted during reinstallation. If the issue persists, contact our support team.
